We're committed to protecting you and safeguarding your personal data. We will never sell your personal data to anyone!

Azexis Ltd operating as Evance considers data protections and privacy to be of paramount importance. You care about how your personal data is used and we respect that. In fact, we respect and value the privacy of everyone who visits our website, uses our products and any other apps or services we may offer. This Privacy Policy explains what information Evance and its related entities ("Azexis") collect about you and why, what we do with that information, how we share it, and how we handle the content you place in our products and services. It also explains the choices available to you regarding our use of your personal information and how you can access and update this information.


Who are "we"?

Evance is owned and operated by Azexis Ltd. a limited company registered in England under company number 6423470. Our address and contact information is available on our Contact Us page.

We provide an easy-to-use website and e-commerce platform for businesses of all sizes and their designers, developer or other agents/advisers. At our core, we're a website management platform which is broken into three classifications: Websites, Catalogues and Ecommerce. Our principles of data protection

We uphold three key principles of handling and protecting personal data. 

  • Security
    Protecting data is ingrained into our product development life-cycle. We regularly review our architecture and protocols to ensure the data you entrust to us is safe. 
  • Stewardship
    We accept the responsibility that comes with processing data. As a data controller and processor for our own services and on behalf of our tenants we ensure data is collected, stored and maintained ethically. 
  • Transparency
    We believe in an open, honest and transparent approach to processing data. 

Scope of this Privacy Policy

This Privacy Policy applies tot he information we obtain through your use of, or interaction with, our services via your device (including but not limited to desktop, laptop, mobile phone, tablet, or other consumer electronic device). 

This includes:

  • Evance Websites
  • SaaS Products (including Evance cloud Software as a Service)
  • Downloadable Products (such as mobile Apps)

but does not include:

  • Evance products or services covered by a separate privacy statement. 
  • Third-party products/services. These are third party apps, products or services that you may choose to integrate with Evance products or services. This includes third party Add-Ons available for integration with Evance either through our control panel, or from within our Marketplace. You should always review the policies of third party products and services to make sure you are comfortable with the ways in which they collect and use your information. 

Unless otherwise stated, our SaaS products and any downloadable products manufactured by Evance are treated the same for the purposes of this document. 

By registering for, or using, Evance services you consent to the collection, transfer, processing, storage, disclosure and other uses described in this Privacy Policy.

Definitions

Add-ons any additional functionality, code, resources or configuration files that can be used with Evance to add additional functionality or to change the behaviour of Evance's existing features.
Apps external applications or middleware integrated to provide additional functionality or to change the behaviour of Evance's existing features.
Apps may be developed by Evance or by third-parties.
Content Any information or data that you upload, submit, post, create, transmit, store or display in or using an Evance service. 
Downloadable Products Evance downloadable software or mobile applications. This includes Add-ons created by Evance installed by customers. However, does not include Add-ons created by third-parties even if accessed via the Evance website or marketplace.
Information All of the various forms of data and content collected by us as described in this Privacy Policy.
Personal Information Information that may be used to readily identify or contact you as an individual person, such as your: name, address, email address, or phone number. Personal Information does not include information that has been anonymized such that it does not allow for the ready identification of specific individuals.
Saas Products Evance's "Cloud" hosted solutions, as well as other Evance hosted solutions that display a link to this Privacy Policy.
Tenant Account Evance cloud is a multi-tenant software as a service. Each Tenant Account has its own subdomain of evance.me.
Websites Evance's websites, including but not limited to evance.it, evance.me, and any related websites, sub-domains and pages.



How we collect your data

When you visit our websites or use our services, we collect personal data. The ways we collect it can be broadly categorised into the following: 

Information you provide directly

When using our websites and/or services we may ask you to provide personal data. For example, we ask for your contact information when you sign up for a free trial, register with our website, respond to a job application or an email offer, join us on social media, take part in training and events, contact us with questions or request support. You may choose not to provide your personal information, but it may mean you can’t use some parts of our websites or services.

Information collected automatically

We collect some information about you automatically when you visit our websites or use our services, like your IP address and device type. We also collect information when you navigate through our websites and services, including what pages you looked at and what links you clicked on. This information is useful for us as it helps us get a better understanding of your user journey so that we can enhance your experience.

Information from third party services

We may also obtain information from third parties and combine that with Information we collect through Evance services. For example, we may have access to certain information from a third party social media or authentication service if you log into Evance through the service or otherwise provide us with access to Information from the service. Any access that we may have to such Information from a third party social or authentication service is in accordance with the authorisation procedures determined by that service. By authorising Evance to connect with a third party service, you authorise us to access and store your name, email address(es), current city, profile picture URL, and other information that the third party service makes available to us, and to use and disclose it in accordance with this Privacy Policy. You should check your privacy settings on these third party services to understand and change the information sent to us through these services.

How we use your data

First and foremost, we use your personal data to operate our Websites, provide you with any services you’ve requested, and to manage our relationship with you.

We may use the Information we collect about you (including Personal Information) for a variety of purposes, including: 

Enhancing our services

We track your usage of our services with the sole purpose to continue improving our services. This may include optimising your user experience, enhancing security or improving performance. 

Communicating with you

This may include:

    • providing you with information you’ve requested from us (like training or education materials) or information we are required to send to you Improving our service
    • operational communications, like changes to our services, security updates, or assistance in using our Websites, products or services
    • marketing communications from us to you via email where you have explicitly consented
    • asking for your feedback or take part in any research/surveys we're conducting (we may do this via a third-party service provider). 

    Supporting you

    This may include assisting with the resolution of technical support issues or other issues relating to the websites or services, whether by phone, email, in-app support or otherwise. 

    Safeguarding you and others

    We investigate suspicious activity to prevent fraudulent transactions, unauthorised access to our Services, or other illegal activities. Our priority is to ensure that we can detect and prevent any fraudulent or malicious activity, and make sure that everyone is using our websites and services fairly and in accordance with our Terms of Use.

    How we can share your data

    We will not share or disclose any of your Personal Information or Content with third parties except as described in this policy. We do not sell your Personal Information or Content.

    Using your own data

    When you use Evance, the Content you provide will be displayed back to you. Certain Evance features allow administrators to make Content public (such as Team pages), in which case it will become readily accessible to anyone. We urge you to consider the sensitivity of any information you input into your Evance user profile. If you object to information displayed on an Evance website please contact the website's administrator.

    Testimonials

    We may ask your consent for us to display personal testimonials of satisfied customers on our Website. Testimonials may include your name, your company and avatar. If you wish to update or delete your testimonial, you can Contact Us.

    Access by administrators

    You should be aware that the administrator of your instance of Evance may be able to:

    • access, or modify your personal information. 
    • access or modify sales, transaction or receipt data as appropriate.
    • control how your user account may be accessed. This includes adding or removing access permissions, or deleting your user account.
    • access communications history where applicable. 
    • access some site preferences. 

    Administrators are NOT able to:

    • access full credit/debit card information.  
    • access data outside of their own Tenant Account (this includes Evance administrators unless explicitly invited as an Administrator to your Tenant Account). 

    Service providers, partners and other third-parties

    We work with third party service providers to provide website, application development, hosting, maintenance, back-up, storage, virtual infrastructure, payment processing, analysis and other services for us. These service providers may have access to or process your Information for the purpose of providing those services for us. Please be aware you're providing your Information to these third parties acting on our behalf.

    Third party Apps or Add-ons

    You may choose to integrate third party Apps in conjunction with Evance. Third party Add-ons or Apps written by third parties to which you grant access privileges to your Content (which may include your Personal Information). When access is granted, your Content is shared with the third party. Third party App policies and procedures are not controlled by Evance even if the App is available through Evance or our marketplace. Third parties you grant access to your Content through an App could use this data to contact you and market services to you, and could share your data with other third parties. This Privacy Policy does not cover the collection or use of your data by third party Apps, and we urge you to consider the individual privacy policies from third parties. If you object to your Personal Information being shared with these third parties, please uninstall the App or terminate your agreement with the third party provider. If in doubt please do not hesitate to Contact Us.

    Links to third party websites

    The Evance Website may include links to other websites whose privacy practices may differ from ours. If you submit Personal Information to any of those sites, your information is governed by their privacy policies. We encourage you to carefully read the privacy policy of any website you visit.

    Compliance with laws and law enforcement

    We may disclose your Information (including your Personal Information) to regulators, law enforcement bodies, government agencies, courts or other third parties if (a) we believe that disclosure is reasonably necessary to comply with any applicable law, regulation, legal process or governmental request, (b) to enforce our agreements, policies and terms of service, (c) to protect the security or integrity of Evance products and services, (d) to protect Evance, our customers or the public from harm or illegal activities, or (e) to respond to an emergency which we believe in the good faith requires us to disclose information to assist in preventing the death or serious bodily injury of any person.

    Social media widgets

    Our website may contain social media features, such as the Facebook "like" button. These features may collect your IP address, which page you are visiting on our Website, and may set a cookie to enable the feature to function properly. Social media features and widgets are either hosted by a third party or hosted directly by us. Your interactions with these features are governed by the privacy policy of the company providing it.

    Business acquisitions or transfers

    We may share or transfer your Information (including your Personal Information) in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business to another company (and its agents and advisers). You will be notified via email and/or a prominent notice on our Website of any change in ownership or uses of your Personal Information, as well as any choices you may have regarding your Personal Information. 

    With your consent

    We will share your Personal Information with third parties when we have your consent to do so.


    Data storage, transfer and security

    Security is a priority for us. We’re committed to protecting your personal data and have appropriate technical and organisational measures in place safeguard data entered into our Website and Evance products. 

    Evance hosts and archives data with hosting service providers based in the UK. The servers on which Personal Information is stored are kept within our own carefully controlled private network. Whist we take reasonable efforts to safeguard your Personal Information, no security system is impenetrable. Due to the inherent nature of the Internet as an open global communications vehicle, we cannot guarantee that information, during transmission through the Internet or while stored on our systems or otherwise in our care, will be absolutely safe from intrusion by others, such as hackers. 

    We cannot guarantee that any incidentally-collected Personal Information you choose to store in Websites or SaaS Products are maintained at levels of protection to meet specific needs or obligations you may have relating to that information. Please ensure you carefully consider the information you enter into Evance, our Website or Apps.

    Where data is transferred over the Internet as part of a Website, SaaS Product or App, the data is encrypted using industry standard SSL (HTTPS). 

    Data retention

    The length of time we keep your personal data depends on what it is and whether there's an ongoing or legitimate business need to retain it (for example, to provide you with a service you’ve requested or to comply with applicable legal, tax or accounting requirements). 

    We’ll retain your personal data for as long as we have a relationship with you and for a period of time afterwards where we have an ongoing business need to retain it, in accordance with our data retention policies and practices. Following that period, we’ll make sure it’s deleted or anonymised.


    Your rights

    It’s your personal data and you have certain rights relating to it. When it comes to marketing communications, you can ask us not to send you these at any time – just follow the unsubscribe instructions contained in the marketing communication, or send your request to support@evance.it.

    You also have rights to:

    • know what personal data we hold about you, and to make sure it's correct and up to date. 
    • request a copy of your personal data, or ask us to restrict processing your personal data, or delete it (except where we must retain data for legitimate business or regulatory reasons). 
    • object to our continued processing of your personal data .

    You may exercise your rights, or express your dissatisfaction with how we process your personal data at any time by sending an email to support@evance.it. We will try to get back to you within a reasonable time frame. If you have a complaint we'd hope that we'd be your first port of call, but you may also complain to your local data protection authority. They will be able to advise you how to submit a complaint. 


    Accessing and updating your information

    If you have a user account you may have direct access to maintain your personal information in your User Account. Depending on your access level this may be on our Website, Evance or on a Tenant Account's Website. You may log into your account to correct, update and amend your personal information. However, you must contact an Administrator or our Support Services to delete your information.


    Our policy towards children

    Evance Services are not aimed at individuals under 16 years of age. We do not knowingly collect Personal Information from children. If we become aware that a child under 16 has provided us with Personal Information, we will take necessary steps to delete such information. If you become aware that a child has provided us with Personal Information, please contact Contact Us.

    Changes to this Privacy Policy

    We may change this Privacy Notice from time to time. This may be necessary, for example, if the law changes, or if we change our business in a way that affects personal data protection.

    Any changes will be immediately posted on our Website and you will be deemed to have accepted the terms of the Privacy Policy on your first use following the alterations. We recommend that you check this page regularly to keep up-to-date.
